SHA has extended the deadline for healthcare facilities to migrate from the SHA Provider Portal to approved Health Management Information Systems (HMIS).
The Social Health Authority (SHA) has extended the deadline for healthcare facilities to migrate from the SHA Provider Portal to approved Health Management Information Systems (HMIS) to November 30, 2026.
In a notice issued jointly with the Digital Health Agency (DHA) on Friday, October 30, SHA said the extension followed requests from healthcare providers and progress made by facilities in migrating to the new digital systems.

"The extension follows requests from healthcare providers and reflects the significant progress achieved over the past month. The additional month gives facilities that have not yet completed the transition enough time to finalize the migration process and ensure a smooth transition," the statement read.
According to the latest migration figures, all 6,427 public Level 2-4 healthcare facilities have successfully transitioned to the approved HMIS, representing 100 per cent completion.

However, the migration process was still ongoing in other categories of healthcare facilities, with 22 out of 28 public Level 5 facilities having completed the transition, representing 79 per cent.
Faith-Based Organization (FBO) facilities recorded 190 successful migrations out of 518 facilities, representing 37 per cent progress, while 371 private facilities had successfully transitioned.
Despite extending the deadline, SHA warned that the existing provider portal would be switched off at the end of November, urging facilities that had not completed the migration to expedite the process.
"All healthcare providers are hereby notified that access to the SHA Provider Portal will be deactivated effective 30 November 2026," the statement added.
SHA called on hospitals and other healthcare providers still using the old system to complete the migration within the additional period to avoid interruptions in their operations.
"Facilities that have not yet completed the transition are strongly urged to expedite and finalize the migration process within the extended period," the statement further read.

SHA further cautioned healthcare providers against treating the extension as an opportunity to delay compliance, describing November 30 as the final deadline for completing the transition.
"Healthcare providers are advised to treat this as the final transition deadline and take the necessary steps to ensure compliance.
"Failure to transition within the stipulated timeframe will result in deactivation of access to the SHA Provider Portal, potentially disrupting service verification, pre-authorization, and claims submission and processing," the statement noted.
SHA noted that the deactivation of the old portal could affect the timely delivery of healthcare services to beneficiaries if facilities failed to migrate within the stipulated period.
To support facilities that were still transitioning, the Digital Health Agency said it would continue providing technical assistance to ensure a smooth migration to the approved systems.
The support would include HMIS onboarding and system integration, technical troubleshooting and resolution of system-related challenges, user guidance and capacity building, as well as coordination with HMIS vendors to address outstanding implementation issues.
This comes days after SHA announced that the verification of pending claims worth Ksh 10 million and above from the defunct National Health Insurance Fund (NHIF) will resume on Monday, October 26.
In a notice on Sunday, October 25, SHA said the exercise will target Level 2, Level 3 and Level 4 healthcare facilities with pending claims under the former health insurance scheme.
"The Social Health Authority (SHA) informs Level 2, Level 3 and Level 4 healthcare facilities that the surveillance and verification exercise for pending claims of KSh 10 million and above relating to the defunct National Health Insurance Fund (NHIF) will resume on 26 October 2026," the notice read.
SHA asked all affected healthcare facilities to check their scheduled visitation dates and prepare the required documentation ahead of the exercise.
The authority directed the facilities to consult the schedule published on its official website to confirm when verification teams would visit their respective institutions.
SHA also instructed the facilities to make available relevant claims records, invoices, evidence of services rendered and other supporting documentation required during the verification process.
